Short answer

A model builds its idea of your company from many sources. If each one gives you a different name, description or location, the signal splits and AI may confuse you, mix you up with another company or ignore you. The solution is no mystery, but it takes discipline: one exact name, one descriptive sentence, one address and one list of services, identical everywhere you appear, starting with the places you control.

How to know if it is happening to you

Ask two AI platforms “what is your exact name?” and “what is the variant people use?”. If they describe you differently, attribute services you do not offer or mix you up with another company, you have a brand entity problem. If they also say something false, find where the error comes from. Then search for your name on Google and note every variant you find: with and without “Ltd” or “Inc.”, with and without the city, with abbreviations.

The ten steps

  1. Decide on the exact name. One. With the same punctuation and capitalisation. If the legal name differs from the trading name, the trading name is the one you repeat, and the legal name goes on your legal pages.
  2. Write the description sentence. What you do, for whom and where, in one sentence. It is the one that will go everywhere.
  3. Fix the address and phone number in the same format.
  4. List your services under the same names. “Accounting for freelancers” is not “Freelance tax advisory”.
  5. Update your website: home page, about page, footer and Organization structured data.
  6. Update your Google Business Profile with an identical name, category, description, address and services.
  7. Update LinkedIn (the company page) and the profiles of the people who are visible, with the same company name.
  8. Review directories and comparison sites in your sector. Correct them, or ask for corrections. Remove duplicate listings.
  9. Retire or redirect what is old: old domains, previous brands, pages with the description from five years ago.
  10. Ask AI again in three or four weeks, with the same two questions, and compare.

Typical cases

  • A name change or rebrand. AI may keep using the old name for months if the sources keep it. Redirects, updated listings and a page that explains the change.
  • A generic name. “Digital Solutions” competes with a hundred identical companies. Add the differentiator to the description and consider whether the trading name helps.
  • Several locations or brands. One main entity and clear relationships (Organization markup with subOrganization or department), not ten websites that look like different companies.

What not to do

  • Creating new profiles in twenty directories “to have a presence”. More listings with different data means more confusion.
  • Inventing data in the schema that is not on the page.
  • Changing the description every month to suit the campaign. Consistency is built over time.
